Complaints Procedure

(i) There may be two types of complaint to deal  with : complaints between members or complaints against officers or the committee

(ii) All complaints should be acknowledged promptly by the Secretary in writing

(iii) Where possible complaints should always be resolved informally by Officers or the Committee

(iv) If the person complained against is dissatisfied with the response he or she may ask for the complaint to be dealt with by the Complaints Committee formally

(v) The Complaints Committee will consist of all members of the Committee of Gilwern U3A excepting if a member or someone close to that member is a party to the complaint in which case that member will be excluded from the discussions

(vi)  The Chair of Gilwern U3A will chair the Complaints Committee except in the case when the Chair or someone close to the Chair is involved in the case in which case another member of of the Committee will be appointed chair on an ad hoc basis

(vii) The Secretary will produce a verbatim  but non-open account of the  Committee's deliberations

(viii) Decisions of the Committee will be sent to all parties involved in writing after due consideration

(ix) The Committee will always seek advice from the Third Age Trust in such cases
